Cancellation and Booking Policy

This policy explains how bookings, cancellations, refunds, and reliability rules work on Trainer Space.

1. Booking confirmation

A booking is confirmed when the trainer completes payment online and Trainer Space records the booking as confirmed.

Trainers should check the booking details, venue information, room, date, time, and access instructions before attending.

2. Trainer payments

Trainers pay online through Stripe Checkout.

Trainer Space does not store full card details. Payment processing is handled by Stripe.

3. Trainer cancellations

  • Trainers can cancel before the booking start time.
  • If a trainer cancels, their refund may be reduced by the Stripe processing fee.
  • Bookings cannot be cancelled after the booking start time.
  • Late trainer cancellations may affect trainer reliability status, which may be visible to venues.

4. Venue cancellations

  • If a venue cancels before the booking start time, the trainer should receive a full refund.
  • The venue may be responsible for the Stripe processing fee on venue cancellations.
  • Late venue cancellations may affect venue reliability status, which may be visible to trainers.

5. Access issues

If a trainer arrives for a confirmed booking and cannot reasonably access the booked space, for example because the venue is closed or access instructions are incorrect, the trainer should contact support.

Where an access issue is confirmed, the trainer may receive a full refund and Trainer Space may record the issue against the venue account.

6. Refund timing

  • Refunds are processed once approved or triggered through the platform.
  • Refunds may take 5–10 business days to appear in the trainer’s bank account.
  • In some cases, the original payment may disappear from the bank statement instead of showing as a separate refund.
  • Refund timing may depend on Stripe, the card provider, and the trainer’s bank.

7. Venue payouts

Venue payouts are handled through Stripe Connect.

Venues must complete any required Stripe onboarding steps before payouts can be made.

Cancelled or refunded bookings may affect venue payout amounts.

8. Booking changes

If a trainer needs a different time, room, or venue, they should cancel the existing booking where permitted and make a new booking.

Trainer Space may add booking amendment features in future, but unless such a feature is available, changes are handled through cancellation and rebooking.

9. Disputes

If there is a dispute about access, cancellation, venue condition, attendance, payment, or refund eligibility, Trainer Space may review available booking records and communications.

Trainer Space may make reasonable decisions about refunds, cancellations, reliability records, and platform access based on the information available.
